Cocktail catering in Rotterdam: prices and what you really pay

In Rotterdam bespreken organisator en cateraar een offerte

What cocktail catering in Rotterdam costs depends less on the city than on the format you choose: a bar with bartenders who charge by the hour, an all-in package per guest, a workshop, or ready-made cocktails that you serve yourself. Each format has its own pricing structure, and only when you know it can you truly compare two quotes side by side. Below, you will read what you are paying for, which Rotterdam factors make the bill higher, how to calculate how many cocktails you need, and how to request a quote that contains no surprises later.

In short

  • Cocktail catering is usually priced by the hour (staff and bar), per guest (all-in), or per cocktail (delivered). Always compare the price per served cocktail, not the total sum.
  • In Rotterdam, location extras count heavily: parking and loading in the city center, an elevator or stairs to a rooftop, and travel time from the caterer's base.
  • Always ask whether VAT, ice, glassware, set-up and take-down, and travel costs are included in the price. It is precisely these items that make the difference between two quotes.
  • A workshop is an activity with a fixed number of drinks per person; catering with service is a continuous supply of drinks. They solve a different problem.
  • If you want bar quality without staff costs, ready-made cocktails that you pour yourself are the most affordable option per glass.

How a price for cocktail catering is structured

A quote for cocktail catering often looks like a single amount, but it almost always contains the same building blocks. Those who know them can immediately see where one provider is cheaper and where they have simply omitted something.

Cost item What it is What to pay attention to
Staff Bartenders, sometimes a barback or hostess Number of hours, minimum booking duration, surcharge for evening or weekend
Drinks Spirits, syrups, juices, garnish Per cocktail, per guest, or as a flat fee; which brands
Bar and equipment Mobile bar, shakers, jiggers, cooling Rental per day or included; power connection required
Ice and glassware Block ice, crushed ice, glasses, washing Often separate; broken glass sometimes charged
Set-up and take-down Time before and after serving Does that time count towards your hours?
Travel costs and parking Kilometers, parking costs, loading and unloading time Fixed amount or per kilometer; parking charged later
VAT On the total service Is the price inclusive or exclusive? Business quotes are often exclusive

That last line seems small, but it is the most common mistake when comparing. A business caterer often quotes prices exclusive of VAT, while a provider for private individuals quotes inclusive. Therefore, always put them on the same basis before choosing.

If you want to know what amounts you can expect for each item, we list them in detail in our overview of what cocktail catering costs in 2026. For the capital, we did the same in the real costs of cocktail catering in Amsterdam; the structure in Rotterdam is similar, but the location costs differ.

Four forms of cocktail catering side by side

If you search for cocktail catering in Rotterdam, you will come across four types of offerings. Each is priced differently, which explains why the amounts you see vary so widely.

Format How the price works What you get Best suited for
Mobile cocktail bar with bartenders Per hour plus drinks, or all-in per guest Continuous serving, show, interaction Weddings, large corporate parties
All-in package per guest Fixed amount per person for a time slot Unlimited or a fixed number of cocktails Parties where you want to set the budget in advance
Cocktail workshop Per participant, with a fixed number of drinks Activity for a few hours, guests shake themselves Team outings, bachelor parties
Ready-made cocktails delivered Per bottle or box, no staff Bar quality that you pour yourself House parties, drinks, birthdays, gifts

The difference between catering with service and a workshop is not just the price. At a workshop, you pay for the experience and each participant drinks a limited number of cocktails they make themselves. With catering, you pay for a bar that runs all evening, so you and your guests don't have to worry about anything. Someone who books a workshop for a five-hour party will still need drinks after the workshop.

The atmosphere you are looking for also determines which format is suitable. A signature cocktail that your guests see being made at the bar feels different from a glass that is already ready, and if you want to see how far that goes, you can find a good example in mixology in a gastrobar, where cocktails and food are designed as a single experience.

What additionally affects the price in Rotterdam

The basic structure is the same everywhere, but a party in Rotterdam has a few unique cost drivers. These are the questions a caterer asks before giving a price.

Accessibility and parking

A party in the city center, on the Kop van Zuid, or in a loft in the port area requires loading and unloading. If there is no private parking space or loading area, a caterer will pass on parking costs or schedule extra time to carry equipment. A location on a high floor or a rooftop without a goods elevator requires more set-up time, and that time is reflected in the number of hours on your quote.

Distance to the caterer

If the bar comes from the region itself, travel costs are limited. If it comes from further away, you often pay a fixed amount or a price per kilometer, sometimes also travel time for the staff. Therefore, always ask where the provider comes from and how travel costs are calculated.

Day, time, and season

Friday and Saturday evenings are the busiest times, as are the summer months and the December period with Christmas drinks. Then you have less choice and less room to negotiate. A drink on a weekday afternoon or a party in a quieter month gives you more options. If you are planning in December, request a quote well in advance.

Number of guests and minimum order

Many providers with service work with a minimum: a minimum number of guests, a minimum booking duration, or a minimum amount. For a small group, you therefore pay relatively a lot per person. For a party with twenty or thirty guests, a bar with two bartenders is often more than you need.

The menu

A menu with three cocktails is cheaper and faster to serve than a menu with eight. Cocktails with fresh ingredients, foam, or special garnish take more time per glass. How to put together a menu that is delicious yet still manageable, you can read in our guide how to put together a cocktail catering menu.

Calculation example: how many cocktails do you need?

The most useful figure for your budget is not the hourly rate, but the number of cocktails you expect to serve. With that, you can convert every quote into a price per glass. Here is how you do it:

  1. Count your guests who drink alcohol and your guests who drink non-alcoholic drinks separately.
  2. Choose an assumption per guest per hour. At a relaxed drink, people drink less than at a dance party. Take a cautious and a generous estimate for yourself.
  3. Multiply by the number of hours that drinks are served, not by the length of the entire party.
  4. Divide the total price of the quote by that number. Then you have the price per cocktail and can compare fairly.

An example with your own assumptions: you have 40 guests, 30 drink alcohol and 10 do not. You estimate two drinks per person in the first hour and one per hour after that, with a serving time of four hours. Then you calculate 40 × (2 + 3) = 200 drinks, of which approximately 50 are non-alcoholic. If the quote for service and drinks is a certain amount, divide it by 200 and you will know what each glass costs you. Put that same figure next to a package of ready-made cocktails, and you will immediately see what the service is worth to you.

Do not forget those non-alcoholic guests. A good mocktail feels like a full-fledged part of the party, not like a glass of soda. You can find inspiration in our mix of cocktails and mocktails.

What information you need for a good quote

The more complete your request, the fewer items will be added later as a surcharge. Include this information:

  1. Date, start and end time, and how long drinks need to be served.
  2. Address and type of location: indoors or outdoors, floor, elevator, loading and unloading area, parking.
  3. Number of guests, and how many of them drink alcohol.
  4. Type of occasion: wedding, birthday, corporate party, networking drinks.
  5. Desired format: bar with service, all-in per guest, workshop, or delivery.
  6. Facilities at the location: power, water, cooling, a place for the bar.
  7. Menu preferences: number of cocktails, a signature drink, mocktails, allergies.
  8. Budget: mention a target amount, so the provider can make a proposal based on that.

If you are organizing something for work, it helps to determine in advance which format suits your audience. In 6 cocktail formats for your corporate party, we put the options side by side, with a checklist.

Fairly comparing quotes

Two quotes with the same final amount can be very different. Go through them with these questions:

  • Inclusive or exclusive of VAT? Put them both on the same basis.
  • What is the price per cocktail? Use the calculation example above.
  • Are set-up and take-down included in the hours? If not, you often pay for them separately.
  • What drinks are used? A house brand or a premium spirit makes a difference in taste and price.
  • What happens if the party runs over? Ask about the price per extra hour.
  • Are ice, glassware, and garnish included? And who pays for broken glass?
  • How are travel costs and parking calculated? Fixed amount or charged later.
  • What are the cancellation terms and the deposit? Especially important for outdoor parties.

The same principle applies to every event sold as a package: whether you rent a bar or plan a private boat party, a price per hour only means something when you know what is and is not included. If in doubt, ask for a breakdown per item. A provider who gives that usually has nothing to hide either.

Alcohol at your party: what you need to consider

If you are serving alcohol at a private party for your own guests, you arrange that yourself. If drinks are being sold, for example with tickets at a public event, you generally need a permit or an exemption under the Alcohol Act. You request that exemption for a special, temporary occasion from the municipality; check the current procedure and deadlines on the website of the municipality of Rotterdam before you start selling tickets or vouchers.

The age limit from the Alcohol Act also applies to your party. If you are working with bartenders, agree in advance who will ask for identification in case of doubt. Furthermore, make sure there are enough non-alcoholic options and water, and think about transportation home for those who have been drinking. If you are unsure whether your event falls under a permit requirement, call the municipality or ask your venue manager; they know what agreements apply at that location.

Our view: pay for quality, not for hours

We make bar-quality cocktails every day with premium ingredients and spirits, and we see the same question come up again and again: do I really need to hire a bar with staff to serve my guests something good? Our answer is: that depends on what you want to pay. Service is an experience. At a wedding or a large corporate party, it can be worth the money, and that is what we also offer catering for events.

Our view: pay for quality, not for hours — overview diagram

But at many parties, you are mainly paying for hours. A birthday with thirty guests, a Friday afternoon drink at the office, a dinner at home: you mainly want the cocktail to be delicious and not to be behind the bar yourself all evening. That is precisely why we make ready-made cocktails. You pour, add ice, and serve. How that works, we explain in how pour-over cocktails work.

Our advice: start with the number of glasses you need, determine what you want to spend per glass, and then choose the format. Often, a combination turns out to be the smartest: a ready-made assortment as a base, supplemented with service at the moment when it really matters.

Frequently asked questions

How much does it cost to hire a cocktail bar in Rotterdam?

That depends on the format: a bar with bartenders is priced per hour or per guest, and drinks, ice, glassware, travel costs, and VAT are added to that. Therefore, always ask for an itemized quote and convert it to a price per cocktail. You can find an up-to-date overview of the amounts per item in our article on cocktail catering costs.

Is cocktail catering cheaper than a workshop?

They are difficult to compare because they offer something different. A workshop is an activity per participant with a fixed number of drinks, while catering provides drinks for the entire evening. For a party lasting several hours, you will usually still need drinks in addition to a workshop.

How many cocktails should I allow per guest?

You decide this yourself based on the type of party and the serving time. Make a conservative and a generous estimate per guest per hour, multiply by the number of hours drinks are served, and count the non-drinking guests separately. This way, you avoid having too little or having a lot left over.

Can I have cocktails delivered instead of hiring a bar?

Yes. You can have ready-made cocktails delivered and serve them yourself, without staff or an hourly rate. We deliver in the Netherlands and Belgium; read how that works at cocktail package delivery.
